Explanation of why a policyholder may receive a denial letter after a signed Proof of Loss submission when the file is still under review.

Hello POLICYHOLDER,

 

I wanted to briefly explain a document you may receive from the insurance carrier following the submission of your signed Proof of Loss.

 

Under the Standard Flood Insurance Policy (SFIP), a signed Proof of Loss must be submitted within 60 days of the date of loss. In some situations, in order to comply with that strict deadline, a signed Proof of Loss may be submitted before the full claim package is finalized, and without the estimate or supporting documentation attached.

 

When this occurs, the carrier may issue a formal denial letter referencing that Proof of Loss. This can understandably sound concerning, but in this situation, it is primarily a procedural step required by the SFIP claims process.

 

The denial letter simply reflects that the carrier cannot approve payment based solely on the Proof of Loss form without the supporting documentation. It does not represent the final outcome of the claim.

 

Your claim file is still being fully documented and reviewed. Once the estimate, photographs, and supporting materials are finalized and submitted, the carrier will evaluate the documented damages and determine any applicable payment under the policy.

 

The key point is that the Proof of Loss must be filed within the 60-day deadline to preserve your rights under the policy, even if the full documentation package is still being completed.
