Template use: Replace placeholders such as POLICYHOLDER, claim-specific dates, amounts, Carrier names, and loss details before sending. Keep the adjuster authority disclaimer intact unless a Carrier/IA firm requires alternate wording.
I hope this email finds you well, POLICYHOLDER. As part of your NFIP flood claim, and as previously discussed regarding our concerns, an engineering inspection has been requested through the Carrier to evaluate any potential foundation and/or structural damage related to this flood loss. PLEASE NOTE: This inspection is arranged by the Carrier and comes at no cost to you. ________________________________ 🛠️ WHAT TO EXPECT NEXT • You should receive a call from the assigned engineering firm within the next couple of weeks to schedule an inspection • Once your appointment is scheduled, please notify me via text or email with the scheduled date and time • If you have not been contacted within 2 weeks of this email, please let me know and I will request a status update from the Carrier ________________________________ 🔍 HOW TO PREPARE FOR THE INSPECTION To help ensure a thorough evaluation, please be prepared to: • Point out all areas of concern to the engineer • Highlight any cracks, movement, or shifting observed • Identify walls that may be out of plumb, uneven floors, or other structural irregularities • Share any changes noticed since the flood event • The engineer will do their best to identify all damages; however, clearly pointing out your concerns helps ensure nothing is overlooked ________________________________ ⚠️ WHY THIS INSPECTION IS IMPORTANT • The engineer’s findings play a key role in determining what structural or foundational damages may be attributed to this flood loss, and what repairs may be considered within your claim • A thorough inspection — with all concerns clearly identified — helps ensure that nothing potentially related to the flood is overlooked • IMPORTANT NOTE: I do not have control over the engineer’s findings. Any additional allowances considered for inclusion in your claim must be supported by the engineer’s report and must also fall within the coverage provided under the SFIP ________________________________ 📲 AFTER THE INSPECTION • Please notify me once the inspection has been completed • Let me know how the inspection went and if anything notable was discussed ________________________________ 📄 ENGINEER REPORT TIMELINE • The engineer’s report will typically take approximately 2 to 4 weeks after the inspection to be completed • The report will include: * An assessment of structural and/or foundational damages attributable to this flood loss * Recommendations for any necessary repairs • Once received, I will review the report carefully to determine whether any additional items can be included in your claim • I will make every effort to provide you with a copy of the report; however, you may also need to request a copy directly from the Carrier. If needed, I will assist you with that request ________________________________ If you have any questions in the meantime, feel free to reach out at any time. Please remember to keep me updated on the scheduling and completion of this inspection, as I do not receive automatic notification from the engineering firm or the Carrier. Christopher T.
